Job Responsibilities

The Senior Employee Benefits and Leave Coordinator is responsible for the day-to-day administration, coordination, and employee support for the school district’s benefit programs.  Serving approximately 2,000 employees, this position ensures that benefit plans are administered accurately, consistently, confidentially, and in compliance with applicable laws, collective bargaining agreements, board of education policies, and district procedures.  The position serves as the district’s primary internal benefits contact and is expected to provide strong customer service, careful data management, and proactive problem-solving.

 

Responsibilities may include:

 

  • Administer the district’s employee benefit programs (medical, dental, vision, life, etc.) and maintain accurate benefits records for active employees, retirees, COBRA participants, and eligible dependents.
  • Manage benefit enrollment, changes, qualifying life events, terminations, retirements, leaves of absence, and open enrollment processes.
  • Act as primary liaison with third-party administrators, carriers, and vendors to interpret and apply benefit provisions in collective bargaining agreements, board policies, plan documents, and administrative procedures.  
  • Enter, audit, and maintain benefit-related data in the district’s HRIS, payroll and benefit systems, including management of leaves of absence, including but not limited to FMLA, disability, and other paid and unpaid leave of absences.
  • Provide first-point-of-contact support for benefit questions, assist with claims and eligibility, provide compassionate guidance for sensitive matters such as medical leaves, disability claims, and retirement transitions. Develop communications, instructions, forms, FAQs, and open enrollment materials.  
  • Ensure adherence to federal and state regulations (ACA, COBRA, HIPAA, FMLA, etc.), Section 125 cafeteria plan rules, Medicare and NYS retirement coordination.  Coordinate mandatory notices and reporting, and maintain strict data confidentiality.
  • Prepare regular and ad hoc reports related to enrollment, costs, eligibility, utilization, census data, open enrollment, retiree coverage, and compliance.
  • Collaborate with Payroll & Finance to reconcile benefit invoices, enrollment reports, deductions and adjustments, vendor records; investigate and resolve discrepancies to maintain integrity of benefits-related data in HRIS and payroll systems.
  • Partner with brokers, third-party administrators, and insurance carriers to resolve service issues, support annual renewals and open enrollment, and monitor vendor deliverables.
  • Create and maintain standard operating procedures, identify workflow optimizations, and manage the benefits calendar.
  • Additional duties as assigned.

 

Compensation & Benefits

Salary: $75,000 - $85,000/yr, commensurate with experience

District Administrative Support Staff

 

Qualifications

Bachelor’s degree in human resources, business administration, public administration, finance, education administration, or related field and three (3) years of experience administering employee benefits, preferably in a public-sector, school district, municipal, nonprofit, unionized, or large-employer environment.  Professional certification such as CEBS, SHRM-CP, SHRM-SCP, PHR, or SPHR, preferred.
