Job Responsibilities
Working under the direction of the Deputy Superintendent, the Principal Account Clerk is responsible for a wide range of financial and administrative duties, including the planning, assigning, and supervising major account-keeping activities, as well as independently performing difficult financial functions and managing complex data to ensure the fiscal integrity of school district funds. Responsibilities may include:
- Engages with various stakeholders, including staff, administrators, community organizations, and private schools while developing effective working relationships;
- Manages daily office functions, including correspondence, document organization, internal webpages, and records management;
- Organizes and analyzes complex data and workflows to assist in the preparation of detailed financial, statistical, and business records;
- Implements account keeping methods and procedures for maintaining audit-ready records, including the comprehensive audit of home tutoring session reports to ensure accuracy and compliance prior to approval and payment;
- Assists in the preparation of annual operating and grant budgets and implementing processes to maintain financial controls;
- Monitors budgets for curriculum, general funds and grant funds; manages grant related purchasing and maintains audit-ready records;
- Monitors and maintains grant budget and status reports for Title I, II, III, and IV and submitting budget amendments to NYS Education Department;
- Reviews grant proposals and contracts, including BOCES cross-contracts, to ensure accuracy, compliance, budgetary requirements, and alignment with district goals;
- Creates purchase orders for instructional materials, software, digital platforms, contracted services, subscriptions, and other district needs;
- Prepares documentation for Board of Education approval and bid materials for purchasing;
- May supervise the preparation of purchase orders and the securing of bids from vendors; and additional duties as assigned.
Compensation & Benefits
Salary: $60,000 - $70,000/yr, commensurate with experience

Certifications/Qualifications
Graduation from a regionally accredited or New York State registered college with a bachelor’s degree in accounting, business administration or closely related field and one (1) year of experience in maintaining financial and business accounts; OR associate’s degree and three (3) years of experience; OR high school diploma (or GED) and five (5) years of experience.
Thorough knowledge of modern methods of maintaining and review of financial accounts, including the use of specialized computer software. Ability to make accurate, complex mathematical computations involving fractions, decimals, and percentages. Proficiency in personal computers and common office software, including G Suite or MS Office Suite. Ability to perform close, detailed work involving high levels of visual effort and concentration. Ability to design and implement processes to improve workflow efficiency. Clerical aptitude with high degree of accuracy, tact and courtesy with ability to establish and maintain effective relationships is required.
